Job Summary:

The Administrative Assistant, under the supervision of the Director of Clinical Services, provides administrative, analytical, and compliance‑focused support to clinical leadership. Responsibilities of this role include, but are not limited to:

 

  • Develop, maintain, and analyze spreadsheets and reports to track clinical quality metrics, provider productivity, utilization trends, and operational performance, including routine and ad hoc reporting.
  • Prepare provider‑level and clinic‑level data analyses, including utilization reviews, trend analysis, and customized reports to support leadership review, audits, and operational planning.
  • Maintain and update internal intranet content, ensuring clinical, compliance, and operational documents are current, accurate and well organized.
  • Manage Medicare’s MIPS program by researching measures, conducting monthly audits, maintaining audit binders, and supporting annual reporting requirements.
  • Serve as a member of the HIPAA committee, assisting with compliance activities including the annual Security Risk Analysis and related documentation.
  • Act as the point of contact for pharmaceutical and medical device companies to coordinate meetings, lunches, and dinners.
  • Complete bi-weekly and ad hoc supply orders across all sites to ensure optimal inventory levels of office and building supplies.
  • Support employee engagement initiatives and clinic events, including planning materials, forms, and logistics.
  • Provide administrative support to clinic leadership, including preparing and processing agendas, meeting minutes, reports, policies, and shared documents.
  • Coordinate meetings and assist with meeting logistics, documentation, and follow‑up materials as assigned.
  • Collaborate cross‑functionally with clinical, operational, and leadership teams to support clinic initiatives.
  • Other duties as assigned.

Supervisory Responsibility:

  • This position has no supervisory responsibilities.

Qualifications:

  • High School Diploma. 
  • Minimum of three years of administrative experience. 

Skills & Abilities:                           

  • Proficient understanding of entire Microsoft Office suite.  Strong Excel knowledge is required.
  • Excellent writing, analytical, and problem-solving skills.
  • Strong organizational skills.
  • Ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to follow oral and written instructions.
  • Ability to work well whether independently or as part of a team.
  • Maintains discretion and confidentiality.

Work Environment:

While performing the duties of this job, the employee regularly works in an office setting located in Edina.

Compensation & Work Schedule:

  • Full-time: 40 hours/week.
  • Non-Exempt.
  • Day Shift: Monday - Friday.
  • No evenings or weekends.
